Raiffeisen, I have to say I didn’t look recently at their retention period.
For me it is much easier really to just put a bill in the scanner, hit a button and get it in the proper place with a unique date stamped name.
Instead I have to remember to download it while paying (may be from the mobile app), going to the right folder, renaming, etc.
I’m totally lazy, to have a working system I should not have to think
On the one hand, I wonder if it makes sense to spend 330 Fr. on something I probably will only use a couple of dozen times a year and the set-up time will probably be more than the time saved scanning with a phone.
On the other hand, I remember that just lost 100x that amount in the stock market in one day, so does it really matter.
I can recommend paperless-ngx, I’ve been using it for years. In regards to vendor lockin it stores the files in a directory structure according to your setup (e.g. document type/year/file). That’s nice to access the files directly without going to the ui. You can also ingest emails directly.
It seems a few people have gotten around the connectivity issues by using a rpi to emulate a USB mass storage device and then you can scan to USB and the rpi does all the required stuff to transport the file to where you want it:
It now sounds worth a try then, I hadn’t realized until yesterday that it can also ingest emails.
Could you share how you have installed it? bare metal, docker, etc.? self hosted?

I also have a ScanSnap ix500 and have been digitalizing everything for years. I put everything on Dropbox and visualize the files with Obsidian (which is not a document management system but is good enough with PDF files)—previously, I was using Evernote.
I also sometimes use an iPhone scanning app (there are many; I’m using Scanner Pro), which automatically downloads my files to Dropbox. This is helpful for receipts or documents when you are not on the computer.
I tried the Post autoscanning system last year —it’s not too bad, but I have to manually import everything to Dropbox, so it’s not saving me much time. In addition, you often have to order the originals because you receive a brochure and it’s not scanned correctly (or you need to keep the document, like medical bills in my case), It works fine for regular letters, though. But in the end, it was not a big time-saver for me, not justifying the cost.
Same here, everything else (if I see it as important) is scanned by phone (microsoft lens). Very rarely I need higher quality and for these cases I have access to scanner at work.
Don’t want another gadget being idle for 99.9% of the time at home.
OK. So I bought the 4300N and wasted the best part of the afternoon trying to get it to work. It should have taken less than an hour but ended up taking several hours due to the web-based interface not being intuitive and the old software only supporting old SSH protocols.
In the end, with one button press, it scans the document and scps it over to my file server. With 3 buttons, I can push to 3 different file locations and I’ll put the intelligent logic on the server side to route/process the scanned documents.
How is the speed of the firmware? I used to have a Brother scanner, but the touchscreen and the firmware on it was extremely slow. Clicking on the „scan to XYZ“ button took what felt like 5 seconds to load. The next step, pressing Start, was also slow. The actual scanning process was then quick. However, it then took what felt like 10 seconds wait time until the transfer was completed and the home screen was loaded. It didn’t fill me with joy. And the scan to e-mail broke down a few years later because the ciphers for SMTP were too old.
I’m very impatient, which is why I bought a model with no touchscreen (indeed, no screen). You just press the button and it scans to the folder. I didn’t try big files yet, but by the time I tidied the paper and checked the folder, it was already there. With this setup, I can load in the papers, press the button and walk away.
All the ciphers are too old, most of the time was to set-up a specific server to receive the files which accepted the out of date ciphers. As long as I get the files onto the server, all further logic will be handled by the server so not limited by the scanner.
